Key Terms, In Plain Language

  • We collect what we need to rent you a unit, take payment, and run the site safely.
  • We do not sell your information, and we do not share it for anyone else’s marketing.
  • Your card details are handled by our payment processor, not stored by us.
  • Site cameras cover shared areas only — never the inside of your unit.
  • You can ask us what we hold about you, and ask us to correct it.
  • Our website uses Google Analytics — see section 13.

1. Who we are

We do not ask for and do not want your customers’ information, your employees’ records, or anything about the contents of your unit.

3. Your emergency contact

We ask for an emergency contact other than yourself. Please tell that person you have given us their details and why.

We use their details only to reach someone about an urgent problem at your unit. We do not add them to mailing lists, do not contact them about rent or debts, and do not share their details with anyone else.

4. Payment information

Card and bank details are collected and stored by our payment processors — Stripe for card payments through the tenant portal, and PayPal, Zelle, Wise or your own bank for the other methods your General Lease lists. We see enough to identify the payment — card type, last four digits and expiry, or the name on a transfer — and nothing more. We never store your full card number or your bank login.

5. Cameras and site security

Cameras cover shared areas — driveways, parking, dumpsters and building exteriors. They do not cover the inside of any unit, and we do not put cameras inside units.

Our cameras record video only — they do not record audio.

Footage is kept for 60 days and then overwritten, unless it is needed for an incident, insurance claim or legal matter.

Only staff who need it to do their job can view footage, and only when investigating an incident, a safety problem, damage, or a suspected breach of the lease. We share it with law enforcement or an insurer when there is a proper reason to.

If we are asked to preserve a recording for a law enforcement investigation, we keep that recording for as long as needed.

6. How we contact you

We contact you about your rental — rent and payment reminders, repairs, access, deliveries, site safety and formal notices — by email, text message, the tenant portal, and phone. Some of these are automated.

We send marketing messages by email unless you have unsubscribed, and by text message only if you have separately agreed in writing to receive them. Agreeing to marketing messages is never a condition of renting from us. You can opt out at any time by replying STOP or by telling us in any reasonable way. You cannot opt out of operational and safety messages while you rent from us — those are part of the lease.

This mirrors section 42 of the Terms and Conditions.

7. Who we share it with

We share your information only where there is a reason to:

  • Our payment processor — to take payment.
  • Our management platform — the system that holds your account and this lease.
  • Our insurer or broker — where there is a claim or a coverage question.
  • Our attorney or a collection agent — if there is a dispute or unpaid rent.
  • A contractor — only what they need to do a job at your unit.
  • A buyer or lender — if the property is sold or refinanced, as part of the normal due diligence on the leases.
  • Google — website analytics, as described in section 13.
  • Our website host, IT providers and professional advisers — where their work for us needs it.
  • Law enforcement or a court — where the law requires it.

We do not sell your information, and we do not share it for anyone else’s marketing.

8. Other tenants

Flex Town is a shared site. Other tenants will see your vehicles, your signage, your deliveries and your staff — that is unavoidable in a multi-tenant facility.

We do not give other tenants your contact details, your rent, your lease terms or your account history. If another tenant needs to reach you, we pass the message on rather than hand over your number.

We cannot delete things we need to keep — a signed lease, a guarantee, a billing record, or anything involved in a live dispute.

11. This statement cannot be overridden by an Addendum

An Addendum to your lease may change commercial terms. It cannot change how we handle your personal information. If an Addendum ever appears to conflict with this Privacy Statement, this Privacy Statement applies.

12. Changes to this statement

We may update this statement. The current version is always at flex-town.com/privacy-policy/, and the version you agreed to when you signed is recorded with your lease. If we make a significant change we will tell you by email at least 30 days before it takes effect, and we will update the version and date at the top of this statement.

13. Our website, cookies and analytics

Our website, flex-town.com, uses cookies — small files a website stores on your device — to work properly and to measure how the site is used.

Google Analytics. We use Google Tag Manager to run Google Analytics, which collects your IP address, your browser and device type and the pages you view. Google handles that data under its own privacy policy, at policies.google.com/privacy. We do not run advertising or remarketing pixels, and nothing on our site follows you to other websites to show you ads.

Tracking across other websites. To the best of our knowledge, no third party collects information about your online activity over time and across different websites when you use our site.

Do Not Track. Some browsers offer a “Do Not Track” setting. There is no common industry standard for responding to it, and we do not currently respond to Do Not Track signals.

How to control this. Every major browser lets you block or delete cookies — look under Settings, then Privacy. You can install Google’s Analytics opt-out add-on at tools.google.com/dlpage/gaoptout. Settings apply to one browser on one device.

Flex Town Privacy Statement — version 1.1. Read together with the Terms and Conditions, the General Lease, the Site Rules and any Addendum signed for your unit. We will post any significant change here at least 30 days before it takes effect, and the version you agreed to is recorded with your lease.

Every document in the set is listed on Lease Documents.
